Job Description
As part of the Finance and Sales teams, the Accounts Receivable & Sales Administrator provides comprehensive administrative, accounting, and sales support. This role is responsible for managing accounts receivable functions, supporting sales administration activities, ensuring data accuracy across systems, and maintaining strong customer relationships. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, high-volume environment.
Key Responsibilities
Sales Administration & Data Management
Enter sales orders, prepare quotations, and support the sales team with admin tasks
Verify sales contracts for accuracy and ensure timely system entry
Organize and maintain digital files for easy retrieval and reference
Review business documents for errors, inconsistencies, and data discrepancies
Identify and correct data issues promptly to maintain system integrity
Type correspondence and documents with speed, accuracy, and attention to detail
Maintain accurate accounting records and general business office paperwork
Respond to sales and customer inquiries professionally and efficiently
Accounts Receivable & Finance Support
Administer daily posting of customer payments with a high level of accuracy
Set up new customers and maintain customer master files
Carry out billing, collection, and reporting activities according to established deadlines
Conduct credit checks within company guidelines and release orders as required
Create and maintain spreadsheets and reports related to accounts receivable
Follow established procedures for processing receipts and financial documentation
Compile and complete required payroll documentation and submit to Payroll accurately and on time
General & Team Responsibilities
Maintain strong customer relationships through timely and professional communication
Adhere to all company policies, procedures, and health and safety requirements
Maintain confidentiality with respect to sensitive and private information
Prioritize assignments to meet deadlines in a high-volume environment
Work collaboratively within a team and with minimal supervision
Perform other duties as assigned within the scope of the role
Required Knowledge & Experience
College diploma or certification in Accounting, Business Administration, or a related field is an asset
Minimum 2–3 years of experience in accounting, accounts receivable, sales administration, or data entry roles
Experience with ERP systems
Strong proficiency in Microsoft Office (Excel, Word, Outlook; PowerPoint an asset)
Exceptional attention to detail with strong organizational and multitasking skills
Fast and accurate data entry and typing abilities
Excellent written and verbal communication skills
Ability to learn new systems quickly and adapt to changing priorities
Effort
Frequent mental and visual concentration during computer-based work and analysis
Regular interruptions requiring the ability to refocus and manage multiple priorities
Some walking throughout the plant
Steady workload with periods of high demand and time pressure
Working Conditions
Primarily office-based with occasional visits to the shop floor requiring personal protective equipment
Exposure to dust, temperature variations, and noise during time spent on the shop floor
Standard hours: Monday to Friday, 8:00 a.m. – 4:30 p.m.
